## Overview

Filently is an AI-powered document organization service that acts as the intelligence layer on top of your existing Google Drive. Your documents stay in your Drive — Filently never stores permanent copies on its own servers. It launched in March 2026 and is operated by Filently GmbH, a company registered in Frauenfeld, Switzerland. Filently was formerly known as Fileo (rebranded January 2026).

Filently uses a Convention First approach: before filing any document, it scans your existing folder structure and detects naming patterns from files already in your Drive. There are no manual rules to configure. The AI understands what each document is and where it belongs — based on your conventions, not a predefined system.

## Why Filently

Filently fills a gap that existing tools don't address: intelligent, automatic document organization that works with your existing cloud storage.

**Classic Document Management Systems** (Docuware, M-Files, SharePoint) require dedicated infrastructure, store documents in a separate silo away from your familiar Drive, demand manual metadata tagging and rule configuration, and come with expensive per-seat licensing. They're built for large enterprises, not for individuals and small teams who just want their files organized.

**Storage provider built-in tools** (Google Drive search, OneDrive Copilot, Dropbox Dash) help you find files but don't organize them. They don't rename documents, don't assign folders, and don't classify content. A scanned invoice stays as `scan001.pdf` in your Downloads folder.

**Rule-based file organizers** (Hazel, file-sort scripts, automation workflows) require you to create and maintain rules for every document type. They match on filenames or metadata — they don't read and understand document content. When document formats change, rules break.

**Filently is the intelligence layer on top of your existing Google Drive.** You keep your familiar interface and file structure. Filently adds the AI that reads each document, understands what it is, and files it where it belongs — automatically. No infrastructure, no manual rules, no separate storage.

## How It Works

1. **Add documents** — Upload directly in the app, drop files into the Filently inbox folder in your Google Drive, or forward emails with attachments to your unique Filently email address.

2. **Read and understand** — Filently reads the document content using OCR for scanned documents and images, or native text extraction for Office files. It identifies the document type, language, and key details like dates, vendor names, and amounts.

3. **Classify and name** — The AI matches the document against your folder structure, selects the best destination folder, and generates a descriptive filename following your naming conventions. It also provides 2–3 alternative folder suggestions with confidence scores.

4. **File or review** — When confidence is high and auto-filing is enabled, the document is filed automatically. Otherwise, it goes to a review queue where you can accept the suggestion, edit the filename, or choose a different folder — all in one click.

## Key Features

- **Content-based classification** — AI reads document content and identifies the type (invoices, contracts, receipts, letters, tax documents, and more), not just filenames or metadata
- **Intelligent folder mapping** — matches each document to the best-fit folder in your existing structure, with 2–3 alternative suggestions
- **AI-generated filenames** — creates descriptive names with dates, vendor names, and amounts (e.g., `2024-03-15_Invoice_Telekom.pdf`) instead of `scan001.pdf`
- **Configurable auto-filing** — file automatically when AI confidence is high, or review every document manually — your choice
- **Custom filing instructions** — write natural-language rules (e.g., "Separate folder per customer", "Medical documents under Health/Records") and the AI follows them
- **Filename convention learning** — AI detects naming patterns from your existing files, or you set your preferred format manually (date style, separators, capitalization)
- **Three input methods** — upload in the web app, drop files into a watched inbox folder in Google Drive, or forward emails with attachments to a unique Filently email address
- **Folder structure proposal** — if your Drive is empty or disorganized, Filently generates a folder hierarchy based on your profession and use case, then creates it for you
- **Automatic new folder creation** — when no existing folder fits, the AI can propose and create one
- **Multi-language** — supports 20+ languages including English, German, French, Spanish, Italian, Dutch, Portuguese, Polish, Japanese, Chinese, Korean, Arabic, and Hebrew

**Credit queueing:** If you reach your monthly limit, documents are queued automatically and processed as soon as credits refill or you upgrade — no documents are lost.

## Privacy & Security

Filently is a Swiss company (Filently GmbH, CHE-458.381.603, Frauenfeld, Switzerland) and takes data privacy seriously.

- **All document content processing (OCR and AI classification) takes place exclusively in Switzerland and the EU**
- OAuth 2.0 authentication — Filently never sees your password
- AES-256-GCM encryption at rest for all sensitive metadata (filenames, folder paths, classification results)
- Documents are temporarily processed in memory and never permanently stored on Filently servers
- Extracted text is discarded after classification — Filently does not retain document content

- Images (JPG, PNG, WebP, HEIC, TIFF)

Files of any other type (e.g. ZIP archives, videos, audio) can also be uploaded and organized — Filently files them based on their filename rather than extracted content. Accuracy depends on how descriptive the filename is, and this works particularly well with custom filing instructions (e.g. "Move all ZIPs to /Archive"). These files count toward the document quota like any other file, but the per-plan max file size limits (50 MB / 100 MB) don't apply to them — they can be as large as your cloud storage allows.
